This page provides a detailed description of the duties and powers of player agents, umpire, and coaching coordinators on the Cactus Foothills North Board of Directors. The identified coordinators have the duties and powers as identified in the Cactus Foothills North Little League Constitution or so determined by the Cactus Foothills North Board of Directors.

Concessions Coordinator
Board Position
The Concessions (Snack Bar) Coordinator shall:
    • Be responsible for overseeing the operation of the concession stand during all regular and post season (tournaments, all-star tournaments) games.
    • Be responsible for buying and stocking concession stand with supplies.
    • Be responsible for equipment maintenance and bringing any repairs or needed replacements to the attention of the Board for approval.
    • Perform such duties as are herein set forth, in addition to other duties that are customarily incidental to the operation of the concession stand or as may be assigned by the Board of Directors.
    • Assist with any fundraisers that require the purchasing or selling of food or beverages.
    • Calculate cost of items/generate price lists;
    • Post instructions on how to open/close stands;
    • Ensures "banks" are prepared for concession stands.
Field Maintenance Coordinator
Auxiliary
The Field Maintenance Coordinator shall:
    • Coordinate all maintenance activities for all Little League fields.
    • Monitor the day-to-day condition of the fields during the season, and take necessary corrective action.
    • Document and maintain an inventory of field equipment (tools, diamond dry, baseline chalk, etc.)
    • Order replacement supplies as needed.
    • Responsible for hanging and removing sponsorship signs and for determining the need for replacement of deteriorated signs at season’s end. Communicate with the Fund Raiser Coordinator regarding new or replacement signs.
    • Perform field duty assignments, as scheduled, or arrange for a replacement.
Equipment Coordinator
Board Position
The Equipment Coordinator shall:
    • Be responsible for the upkeep and maintenance of all player equipment.
    • Coordinate with the League Player Agents to receive all equipment bags back from the managers at the end of the season (or the end of all-star season or fall league).
    • Clean equipment bags and equipment.
    • Maintain an electronic inventory of all equipment in each bag to ensure that all equipment is returned and that equipment which has exceeded its life expectancy is replaced.
    • Inspectsall equipment, removed damaged, worn, or unsafe equipment, and replaces with new equipment.
    • Order all new equipment.
    • Maintain inventory of reserve equipment.
    • Prepare all equipment bags for distribution each new season.
    • Coordinate with the Vice Presidents of Baseball/Softball and League Commissioners to make sure that all equipment bags are distributed to managers by/on draft day for each league.
Events Planning Coordinator
Board Position
The Events Planning Coordinator shall:
    • Coordinates all league events – including Opening Day and registration
    • Coordinates team photos and distribution – includes schedule creation and communication (working with League Information Officer)
    • Manage photography vendor – includes vendor selection
    • Responsible for distributing fliers to the area schools
    • Coordinating visits into classrooms to encourage involvement from more kids; will probably coordinate this with our local board member who has 'school connections'.
Uniforms Coordinator
Auxiliary
The Uniforms Coordinator shall:
    • Research and identify regular season and All-star uniform vendors for the League
    • Place orders for all uniforms
    • Place orders for new and/or replacement uniforms
Sponsorship and Fund-raising Coordinator
Board Position
The Fundraising and Sponsorship Coordinator shall:
    • Solicit advertising signs for all fields
    • Communicate updated sign list to Field Maintenance Coordinator for hanging and removal
    • Solicit all team sponsors and forward sponsor information to the Vice President for uniform screening
    • Collect all fees from advertisers and sponsors
    • Coordinate all fundraising activities
    • Order and distribute sponsor plaques
    • Send sponsorship renewal letters to previous sponsors
    • Coordinates with the Treasurer to make sure that all funds are secured
Volunteer Coordinator
Auxiliary
 The Volunteer Coordinator shall:
    • Organize volunteers to help with League functions
    • Communicate (through the League Information Officer) volunteer needs and priorities to the League membership
    • Develop materials to share with the League membership to gain interest and grow the volunteer base for the League
